How many calls HVAC companies miss: what the data measures

In Invoca's 2026 benchmark of calls on its own platform, a person answered 52% of inbound calls to home services businesses, and HVAC had one of the lowest answer rates of the nine sub-industries at 34%.

Read the 34% with its limits: it counts every inbound call, so the unanswered share mixes voicemail, IVR, misdials and spam, never lost jobs.

Length cleans some of that up: across home services, 65% of calls over 15 seconds and 73% over 30 seconds were answered by a person, filters that remove misdials and hang-ups; Invoca publishes no HVAC figure at those lengths.

The other commonly quoted number is older and broader: in a 2016 study, the local SEO firm 411 Locals monitored calls to 85 small businesses across 58 industries for 30 days and found 37.8% answered, 37.8% sent to voicemail and 24.3% with no response, so about 6 in 10 calls went unanswered by a person.

The sample is small, not HVAC, and its selection is undisclosed, so it shows the problem is common in small businesses, not an HVAC statistic.

We found no reliable dollars-per-missed-call figure, so a precise number you read is somebody's arithmetic; ours is labeled illustrative.

Say 300 inbound calls land in a month, spam and misdials remove 90, and your log shows 40% of the remaining 210 ended with no conversation: 84 real customer calls nobody spoke to.

Where they would have landed runs through your booking rate: ServiceTitan's platform data put HVAC's call booking rate at 38% in June 2022, with no stated denominator, so 84 calls at that rate is roughly 32 jobs that might have booked, valued at your average ticket.

The six-figure annual-loss figures on LinkedIn and agency blogs are somebody else's arithmetic; yours are the only inputs that count.

Count your own missed calls in a month

1. Get a log you can trust

Published call tracking starts at $30 to $79 a month as of October 2026 (WhatConverts $30, CallRail $50 for 5 numbers and 250 minutes, CallTrackingMetrics $79, each plus usage), and HVAC call tracking compares the tools.

2. Define missed, in writing

Pick the rule before looking at numbers: no conversation with a person equals missed, voicemail included, as Invoca counts its answer rate.

3. Strip out spam and misdials

Count rings that were never customers separately: a nine-second robocall and a no-cooling emergency are not the same loss.

4. Cut the remainder by hour and season

On ServiceTitan's platform, 14.1% of inbound calls to residential HVAC shops arrived outside business hours in June 2025, against 9.8% in October 2025; business hours meant Monday to Friday, 8 a.m. to 5 p.m. local, and the summer increase was largest between 5 and 9 p.m.

5. Set a recovery rule for every real missed call

Decide who calls back, how fast, and what text goes out, so recovery does not depend on who is at the desk.

A text back is an automated message sent when a call goes unanswered, inviting the caller to describe the job or book a time.

Two rules in the FCC's TCPA regulations (47 CFR 64.1200) matter for the send: marketing texts sent with an autodialer or a prerecorded voice need the recipient's prior express written consent, while informational texts to cell phones, such as appointment confirmations and tech-on-the-way updates, need prior express consent, which need not be written.

Any revocation, including a reply of stop, cancel or unsubscribe, must be honored within 10 business days.

Whether a particular texting platform counts as an autodialer is a separate legal question (Facebook v. Duguid, 2021), so treat this as a description of the rule, not legal advice, and confirm your setup with an attorney.

Google's Local Services Ads billing also turns on the callback: a missed call with no voicemail counts as a valid lead, a charged lead, only once you return it and reach the customer or leave a voicemail; a call you never return is not on the valid-lead list.

The callback is a race

In a 2011 Harvard Business Review audit of 2,241 US companies, 37% responded to a web lead within an hour, 24% took more than 24 hours, 23% never responded, and the average response, among companies that responded within 30 days, was 42 hours.

A companion study of 1.25 million leads found that firms trying to contact a lead within an hour were nearly 7 times as likely to qualify it as those trying an hour later, and more than 60 times as likely as those waiting 24 hours or longer.

Both were published in 2011 and cover more than home services; qualify meant a meaningful conversation with a decision maker, not a booked job.

HVAC call handling: the options and what they cost

Live answering services put human receptionists on your line; published entry plans run $99 to $300 a month as of October 2026 (PATLive $99 for 50 minutes, Ruby $250 for 50 minutes, Smith.ai $300 for 30 calls), and the buying checks are in HVAC answering service.

Missed calls also carry a ranking cost: Google says responsiveness counts in Local Services Ads ranking, and that if you regularly fail to answer calls or respond to messages, your ad ranking may be affected, with higher-quality profiles potentially paying lower costs per lead.

Google also says enabling message or booking leads can raise lead likelihood, especially on nights and weekends when you cannot answer the phone, and that leads received outside your business hours are on its no-credit list.

The call starts before it rings

In a September 2013 Google/Ipsos survey, 70% of mobile searchers said they had used click to call to contact a business directly from search results, and 47% said they would be more likely to explore other brands if a business had no phone number associated with its search results.

That is 2013 data across all verticals; it shows why the tap-to-call button matters as much as the answering.
