What an HVAC answering service actually does

A live service puts receptionists on your line: they answer, capture the caller's name, address and issue, and pass the message to you.

Booking can cost extra: Smith.ai lists appointment booking as a $1.50 per call add-on (October 2026).

None of the pricing pages we checked (Ruby, PATLive and Smith.ai) says receptionists dispatch on-call technicians at these prices, so ask that first.

The case in numbers

In Invoca's 2026 benchmark of its own platform, a person answered 52% of inbound calls to home services businesses, and HVAC had one of the lowest answer rates of the nine sub-industries at 34%.

Read it with its limits: Invoca's customers skew larger and multi-location, and "not answered" includes voicemail, IVR, misdials and spam.

The after-hours piece is HVAC-specific: on ServiceTitan's platform, 14.1% of inbound calls to residential HVAC shops arrived outside business hours in June 2025, against 9.8% in October 2025 (business hours: Monday to Friday, 8 a.m. to 5 p.m. local).

It measures arrivals, not answers: weekday after-hours calls peaked at 9.3% of inbound in June, weekend calls at 4.9% in August, the biggest summer jump between 5 and 9 p.m.

A shop with 400 inbound calls in a summer month would see about 56 arrive outside business hours.

Answering is not booking: ServiceTitan's platform data put a typical trade shop's call booking rate at 42% and HVAC's at 38% in June 2022 (no stated denominator); HVAC call booking rate works through what that metric counts.

Google's Local Services Ads documentation adds that responsiveness is weighed in ad ranking, and regularly failing to answer calls can affect it (September 2026).

What an HVAC answering service costs (October 2026)

Live answering is priced per minute or per call; published entry plans run $99 to $300 a month as of October 2026.

  • PATLive: $99/mo for 50 minutes (about 20 calls), $349/mo for 200 minutes; prices exclude taxes and fees.
  • Ruby: $250/mo for 50 minutes, $720/mo for 200 minutes; says there are no setup or after-hours fees.
  • Smith.ai: $300/mo for 30 calls ($11.50 overages), $810/mo for 90 calls; Smith.ai says, "Calls at 2 pm and 2 am cost the same."

By simple arithmetic from those list prices, Ruby's 200-minute plan works out to $3.60 per minute, PATLive's to about $1.75 per minute, and Smith.ai's 90-call plan to $9 per call.

All three are general-purpose services, not HVAC-specific, and list prices change often.

As of October 1, 2026, ServiceTitan, Housecall Pro's CSR AI, Avoca and Nexa publish no price either: each routes to a demo or contact form.

Published AI receptionist prices range from free to $449 a month and up (October 2026): Smith.ai's AI plan is free for 25 calls, then $150/mo for 75 calls; Goodcall's Starter is $79/mo per agent; Sameday, built for home services, starts at $449/mo for 500 minutes.

Answering service versus an in-house hire

According to BLS occupational employment data for May 2025, plumbing and HVAC contractors (NAICS 238220) employed 16,240 customer service representatives at a median of $46,210 a year, and 12,070 dispatchers at a median of $47,480.

Those figures are plumbing and HVAC combined, and they are wages: payroll taxes and benefits stack on top.

The honest comparison is coverage, not headcount: a plan buys evenings, weekends and overflow for a monthly fee; a hire buys a person who can also dispatch and follow up all day.

One workable mix: staff the day, cover the edges, and track whether the covered hours book.

After hours answering service for HVAC: the 24 hour question

An after-hours answering service answers two questions: when do calls arrive, and will anyone act on them.

Demand is documented: in a February 2026 Housecall Pro survey of 1,100+ US homeowners, 72% said they would pay more to have an emergency resolved within 24 hours (stated intent, non-probability sample).

Acting is the catch: none of the live-service plans above states that receptionists will page your on-call technician at 2 a.m.

On two of the plans above, night coverage costs no extra: Ruby says its plans carry no fees for setup or after-hours coverage, and Smith.ai prices a 2 a.m. call the same as a 2 p.m. call (both, October 2026).

Five checks before you sign

  • Your baseline: track answer rate and booking rate by hour for a few weeks first.
  • The Google number: Google's Business Profile guidelines require the profile's number to connect to the individual business location and be under the business's direct control, and prefer a local number over a call-center number (October 2026); a number you control that rings your business, directly or through the service you hired, fits that wording; the guidelines name no ranking effect.
  • Recording consent: federal law (18 U.S.C. 2511(2)(d)) lets a party to a call record it, but California's Penal Code 632 requires all parties' consent to record a confidential call, so announce recording on every call and confirm your state's rule with an attorney; more in HVAC call recording laws.
  • The booking handoff: how an appointment reaches your calendar, who confirms it, and what it costs per call.
  • The dispatch terms: trigger, escalation path, per-dispatch cost, in writing.
